First: what defines a congress's price

Streaming a congress is not the same as streaming a 2-hour conference. The factors that determine price are different and more complex:

  • Number of days: a 3-day congress requires staff for 3 full days, not just broadcast time
  • Number of simultaneous rooms: each room is an independent technical operation
  • Platform type: YouTube is different from a private platform with registration and access control
  • Remote speakers: integrating international speakers via videoconference adds technical complexity
  • Simultaneous interpretation: additional languages make the setup more complex
  • Recording and post-production: if editing, per-room delivery or individual clips are required

Real price ranges in Colombia

The ranges below are for events in Medellín. For other cities, add travel cost (detailed below).

Basic congress (1 day, 1 room)

Profile: trade association, one-day symposium, hotel auditorium, 200-400 online attendees.

For congresses outside Medellín, travel cost is added to the service value:

Is travel to other cities included in these price ranges?

No. The ranges in this guide are for events in the Medellín metro area. For congresses in Bogotá, Cartagena, Barranquilla or other cities, travel cost for the technical team and equipment is added — on average between $800,000 and $2,500,000 COP depending on the city and event duration.

How much more does 4K streaming cost compared to 1080p?

For live streaming, the cost difference between 1080p and 4K is smaller than most people think: roughly 15-25% more on top of equipment and bandwidth cost. Recording in 4K adds a similar amount. We mainly recommend 4K for congresses with presentations requiring high-resolution medical imaging, or when the recording will be distributed on premium platforms afterward.

Does the price change if the congress is on a weekend?

Yes. Weekend, holiday or overnight events carry a 20-30% surcharge over the base price — this reflects the real cost of operating under those conditions. Most large medical congresses in Colombia run Thursday through Saturday.

Is there a discount for a congress that repeats every year?

Yes. For annual congresses we work with recurrently, we offer preferential rates starting the second year — we already know the venue, the association's team and the event's specific requirements, which reduces pre-production time.

What happens if the congress runs longer than planned?

We handle it with flexibility. Contracts include the planned schedule, and if the congress runs over, we agree on an additional hourly rate with the client before the event — so there's no discussion in the moment. We've never left a congress because the contracted time ran out.
